Once your initial complimentary consultation is complete and we decide to move forward together, the Trip Design Fee is required before any quotes are provided or reservations are researched.

ALL TRAVEL MANAGEMENT FEES ARE NON-REFUNDABLE.

It is the client’s responsibility to have a valid passport, visa, and/or other travel documentation and to ensure they meet any and all health requirements for travel. A passport is the only reliable and universally accepted travel and identification document. Using other documentation may result in delays or being denied boarding.

Change of length of stay may result in a change of documentation needed to travel.

Any Visa advice provided to you is dependent on the accuracy of the information provided by you. Visa advice is current but can change prior to your intended travel.

Verification of documentation requirements must be done when travel dates are near.

Failure to provide the required documents may result in being denied boarding privileges by the carrier or relevant authorities, without further recourse or the possibility of a refund.

Cruise passengers must present a valid passport, regardless of the entry requirements for their country of embarkation.

To re-enter Canada, you must have a valid Canadian passport, you need to show a Permanent Resident card or Canadian Visa.

Immigration authorities have the sole discretion to deny entry even when the relevant documentation is provided. A traveller with a criminal history may be denied entry.

We recommend that you inquire with the Consular Affairs Bureau for Canadians Abroad or review online the Essential Information for Canadian Travelers Guide at voyage.gc.ca to satisfy personal requirements.

For some countries, international health certificates and vaccinations are required.

Some countries require travellers to be issued a special international driver's permit and/or international proof of insurance.

For Domestic Flights: all passengers must be in possession of government-issued photo identification. Children under 16 should carry proof of identity if no photo ID is available.

Wellness Travel will not charge change or cancellation fees. However, cancelled bookings may incur supplier fees, which can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Supplier fees may also apply where a booking is changed and when tickets or documents are re-issued. Clients are responsible for all cancellation or change fees applied by the supplier for any booking which you change or cancel. Where you seek a refund for a cancelled booking for which payment has been made to the supplier, we will not provide a refund to you until we receive the funds from that supplier. Terms and conditions including supplier change and cancellation fees will be provided prior to booking.

Terms and Conditions
(For Retreats and Trips Organized by Mindfitness International and Wellness-Travel.net and/or in partnership with Intrepid Travel)
1.0 PAYMENTS & CANCELLATIONS
1.1 Terms of Service
This agreement (the "Terms and Conditions") is entered into between the participant ("Client") and Mindfitness Retreats and Travel Inc., operating as Mindfitness International and Wellness-Travel.net ("Mindfitness").
This retreat is operated in partnership with Intrepid Travel. By booking this retreat, you also agree to the Intrepid Travel Booking Conditions, which form an integral part of this agreement: https://agents.intrepidtravel.com/ca/cad/booking-intrepid/booking-conditions
It is the responsibility of each participant to read and agree to the Intrepid conditions prior to booking.
1.2 Participant Information
To ensure proper travel arrangements, each Client must submit the following no later than 60 days prior to departure:

Passport number, expiry date, and nationality

Date of birth and gender

Rooming preferences

Dietary restrictions and medical conditions
Failure to provide these details on time may result in the cancellation of services without refund.
1.3 Reservations
To reserve your place, a completed registration and deposit are required. Space is limited and subject to availability until confirmed by payment.
1.4 Payment & Acceptance of Terms
By submitting any payment, you agree to these Terms and Conditions, as well as those of Intrepid Travel. You are not required to sign a physical document; payment implies acceptance. Final balances are due 75 days before retreat or Trip start. Late payment may forfeit your reservation.
1.5 Cancellation by Client
Mindfitness enforces a strict no-refund policy. Cancellation notices must be in writing. Refunds, if granted, are solely at Mindfitness's discretion and subject to administrative and supplier fees. Clients are strongly advised to purchase "Cancel for Any Reason" insurance.
1.6 Cancellation by Mindfitness
Mindfitness may cancel the retreat due to force majeure, insufficient enrollment, or supplier issues. In such cases, deposits may be transferred to a future retreat within 12 months. Mindfitness is not liable for participant losses; claims must be made through travel insurance.
1.7 Changes to Services
Mindfitness and Intrepid reserve the right to change accommodations, itinerary, instructors, or inclusions as necessary. These changes do not entitle participants to refunds beyond applicable credit transfers.
1.8 Disruptions & Documentation
It is the Client’s responsibility to ensure valid passports (min. 6 months post-return), required visas, and legal travel documentation. Mindfitness is not responsible for issues related to incomplete documents.
2.0 INSURANCE & LEGAL RESPONSIBILITIES
2.1 Travel Insurance
All participants must have valid travel insurance covering:

Medical emergencies & evacuation

Trip cancellation or interruption

Natural disasters and pandemics
-
Personal liability and belongings
Proof of insurance must be submitted prior to departure.
2.2 Health & Medical
Clients declare they are physically and mentally fit to participate. You must carry necessary medications and inform us of relevant health conditions before the trip.
2.3 Emergency Medical Consent
By accepting these terms, you authorize emergency medical care as deemed necessary by staff. All costs are your financial responsibility.
3.0 ASSUMPTION OF RISK & LIABILITY
3.1 Participation Waiver
Activities may include exposure to natural hazards, physical exertion, or rural areas without immediate medical care. Participation is at your own risk.
3.2 Liability Release
You release Mindfitness Retreats and Travel Inc. and its affiliates, including Intrepid Travel, from liability for injury, illness, loss, or death except in cases of gross negligence.
3.3 Code of Conduct
Mindfitness reserves the right to remove participants for disruptive or unsafe behavior with no refund.
4.0 MEDIA RELEASE
Participants consent to the use of photographs, video, and other media for promotional use without compensation or approval.
5.0 FORCE MAJEURE
Mindfitness shall not be held liable for cancellations or disruptions caused by natural disasters, war, pandemics, or any situation beyond reasonable control.
6.0 LEGAL TERMS
6.1 Governing Law
These terms are governed by the laws of the Province of Ontario, Canada. Any disputes shall be resolved in Ontario courts.
6.2 Legal Disclaimer
This waiver intends to release Mindfitness to the fullest extent permitted by law. Clients are responsible for understanding the legal implications of participation.
7.0 FINAL NOTES
7.1 Passport & Visa

7.2 Responsible Travel
Mindfitness supports ethical travel. Clients are expected to respect local cultures, people, and environments.
